Draft Schedule for Information Sharing / Gathering
Week of 12 – 16 September
- Individuals are invited to become members of the Working Group. Invitation extended by Gerry Hull with follow-up confirmation/thank you letter
19 September and 23 September, 08:30 a.m. – 09:30 a.m.
- Convene meetings of the working group to discuss their role and review the data collection exercise and share with them the “excellence in education at AIS” document and the importance of this as a foundation for the work ahead
- For those who cannot make either of the meetings, 1:1 meetings to go over their role
Week of 19 – 23 September (after Board meeting)
- Email to all AIS constituents from Gerry Hull, Alan Colberg & David Hawley alerting them to the strategic planning process and how they will be asked to be involved. Include information on the past strategic planning process and the successful implementation of the last plan as well as challenges going forward
Week of 26 – 30 September
- In collaboration with the working group, finalize the data collection process and begin to populate the master calendar for the balance of the 2005-6 school year
- Start 1:1 meetings with leaders of major internal constituent groups (e.g. PO, Boosters, language parent groups, etc.), trustees and with major capital campaign prospects (these meetings will continue throughout the Fall)
Weeks of 3 October – 4 November (5 Weeks, includes 1 week off for Fall break)
- Information sessions / discussions with each constituency group, led in partnership with members of the senior academic team and the individuals from the working group assigned to collect data from that constituency. The sessions would be focused on a review of “excellence in education” at AIS and a re-affirmation of the school’s mission and values. In addition, a brief explanation of the strategic planning process
Weeks of 7 November – 16 December (6 Weeks)
- Information gathering meetings with each constituency group to review aspirations for the next five years in light of understanding the AIS mission, values and educational excellence and to generate the long list of potential project ideas
- Begin series of meeting with key external constituent groups (e.g. MACOC, Corporations, Consuls, etc.) to get their reaction to AIS aspirations and solicit their input on potential projects for AIS (these meetings with continue into February 2006)
Weeks of 2 January – 27 January (4 Weeks)
- Organize and synthesize the input from all the key constituent groups to create a coherent preliminary long list of potential projects
- Conduct initial high level screening of ideas (e.g. financial requirements, feasibility, fit with AIS mission/values)
- Develop the final long list of potential projects to be evaluated
Weeks of 30 January – 1 March (5 Weeks)
- Information sharing with each constituency group – sharing the aspirations and long list of potential projects that have come forth from all of the constituents. Use this session for the start of prioritizing the various aspiration goals that have been proposed
- Engaging the entire community via an on line survey to respond to the long list of potential projects and solicit priority preferences
- Collect the data required to fully evaluate the potential ideas
Weeks of 4 March – 31 March (4 Weeks, includes 1 week off for Spring Break)
- Complete evaluation and prioritization of the long list of potential ideas including funding requirements
- Integrate potential projects with long term financial model of the school
- Integrate the ideas into a draft strategic plan for review by the Board
