Navigating the Veracross Parent Portal
Atlanta International School uses student data management software called Veracross to collect, track and store student and family information. The Veracross Parent Portal is a web-based module of Veracross that allows parents to view and change their own family's contact information as well as view directories, calendars and other useful information. Only parents living in residence with a currently enrolled AIS student will be granted a user account to the Veracross Parent Portal. We ask that users treat the information contained within the Parent Portal with sensitivity and strictly adhere to the AIS Privacy Policy.
Security of the Parent Portal
Veracross uses corporate-grade security architechture to prevent unauthorized data access and keep personal information confidential. Each account is given a limited "view" into the database. This limited view prevents unauthorized users from seeing any restricted information.
128-bit SSL encryption ensures that data communication is secure as it passes through the internet. This is the same technology many banks use today to protect sensitive information.
Veracross systems are hosted at Breuer & Co.'s (the makers of Veracross) secure corporate data center. All servers and associated infrastructure are monitored 24 hours per day in a max-security colocation center where only authorized personnel have access. Breuer & Co. and Atlanta International School administer all user accounts to ensure the confidentiality of account information.

AIS Privacy Policy
In consideration of themselves and other AIS families, parents should familiarize themselves with the AIS Privacy Policy and strictly adhere to its guidelines when using family directory information.
If you suspect that a member of the AIS community has violated the AIS Privacy Policy, please contact our Communications Manager detailing the reason you believe family contact information was used inappropriately. AIS will review the information and take appropriate action.
Parent Portal Overview
Messages
- My Messages
- This link takes you to messages that have been sent to you recently via distribution lists (communications sent to parents in large groups). Once you have viewed these messages, they will then go into your Household Messages area and will remove them from the My Messages area. This allows you to view only the messages that you have not yet reviewed. If you did not receive the message in your email inbox, you can rest assured that it is captured here. You can also view these messages in under the Household Messages link.
- Household Messages
- This link takes you to a list of all messages that have been sent to you or anyone in your household via distribution lists (communications sent to parents in large groups). This serves as an archive of all messages sent to anyone in your household.
Calendars
- Household Calendar
- This link takes you to a calendar that lists all events that may pertain to you or anyone in your household. This includes school-wide events, athletics events, etc. Click on the event name to get further detailed information about the event including locations, event planner, times, etc.
- Athletic Calendar
- This link takes you to a calendar of all school athletic events. Click on the event name to get further detailed information about the event including locations, event planner, times, etc.
- School Calendar
- This link will take you to a calendar listing school-wide events, important dates (including faculty birthdays), day in the class schedule rotation, end of terms, etc. You may click on the name of the event for more detailed information.
My Children's Current Location
This link will show you the class your child(ren) is currently in, the teacher they are with, the room in which the class is schedule, how much time is left for that class and what class they will be attending next.
My Events for Review
This link is reserved for future functionality that AIS may add to the Parent Portal. It is not active at this time.
Student Name Links
- You will notice a link for each of your students. You may click on these links to see more detailed information on your student.
- General
- This area contains general information about your student
- Related People
- This area lists all of the people who are related to your student. This includes anyone living in your household, but may also include information on others related to you, but who may be living in another household
- You may specify whether someone related to your student is an emergency contact or is allowed to pick up your student from school.
- To see more detailed information on these individuals, you may click on the magnifying glass to the right of each person’s row.
- Emergency
- This area lists emergency contact only.
- To see more detailed information on these individuals, you may click on the magnifying glass to the right of each person's row.
- Attendance
- This area lists your student's attendance records for the current academic term.
- You may click on the magnifying glass to the right to see more detailed information about your student's attendance for that day.
- Schedule (N)
- This area lists all of the academic classes in which your student is currently enrolled, excluding any Kaleidoscope programs.
- Schedule (N) - CY
- This area lists all of the classes in which your student is currently enrolled, including Kaleidoscope programs.
- Grades
- This area will remain blank as AIS prefers to communicate grades to parents personally rather than electronically.

- Events
- This is a list of any major event for your student such as enrollment.
- You will not be permitted to make any changes to this area.
- Behavior
- This area will remain blank as AIS prefers to communicate behavior issues to parents personally rather than electronically

- This area lists any additional miscellaneous information about your student. This information is strictly private and is only available for your viewing. No other AIS families have access to this information
- Enrollment Checklist
- This area lists all items needed to complete a student's enrollment or re-enrollment each year.
- During enrollment/re-enrollment season, please check this area to see what items you need to complete to finalize your student's enrollment/re-enrollment.
- Enrollment History
- This is a list of your student's enrollment history with AIS. Enrollment is tracked per academic term: 4 terms for primary school students (Y1, T2, T3, ALL), 5 terms for middle school students (MSQ1, MSQ2, MSQ3, MSQ4, ALL) and 5 terms for upper school students (Q1, Q2, Q3, Q4, ALL).
- Activities
- This area lists any extracurricular activities that your student may be participating in. At the moment, only athletic teams are tracked as activities.
- Organizations
- This is a list of any organizations that your student may be affiliated with such as an employer or any other organization.
- Click on the magnifying glass to the right of the organization's row to see more detailed information.
- You may add or delete organizations from your student's record at any time.
- Languages
- This area allows you to check off the different languages your student speaks. The circular radio button next to the check box identifies that language as your student's native language(s).
- Preferences
- This area lists the phone numbers that AIS uses with Alert Now (AIS' emergency calling service) should the need arise.
- Please note that the student's home telephone number will be called first with the numbers listed on this page called in their listed order.
- If you wish to change the phone number calling priority, you may do so here.
- AlertNow is updated on a regular basis with parent contact information to ensure that you may be contacted in the event of an emergency.
- Citizenship
- This area allows you to check off the different countries in which your student holds citizenship.
- Profile
- This area is used for internal AIS purposes.
- You will not be permitted to make any changes to this screen.
- Roles
- This area lists your student's role(s) within the Veracross database.
- You will not be permitted to make any changes to this screen.
- Assignments
- This area will remain blank as AIS prefers to encourage students to be responsible for noting their own assignments.
- Prior Assignments
- See comment under "Assignments"
- Groups
- This area lists all the different groups of which your student is a member. Nearly any kind of categorization can be considered a group.
- This area lists any email messages sent to student via a distribution list.
- At this time, mass communications via distribution lists are made directly to parents rather than to students.
My Household
- This link will take you to information on your household including address, phone numbers, email addresses, members of your household, etc. To the left is a list of links to take you to more detailed information on your household.
- General
- This screen contains general information about your household. This is the area where you can make changes to your contact and mailing address information. Please keep this information as up to date as possible. Make sure to click the "Update" button at the top of the screen when you change information and before you leave this screen to make sure your changes are captured.
- At the bottom of the screen is the list of members in your household. To see more detailed information (such as individual email addresses and cell phone numbers), click on the magnifying glass to the right of each member's row.
- You can change your Family Directory Status to only show the information you would like other AIS families to be able to view. By default, the Family Directory will show your mailing address, phone number and email addresses unless you specify otherwise here. Also, please note that when you run a Family Directory report, you will still be able to see all of your own information in the report, while other families will only be able to see what you have specified.
- Addresses
- This area lists your addresses. If you have a secondary address that you maintain, you can addit here. Please be sure that your main address is listed as the Primary Address.
- At the bottom of the screen you have the ability to specify which address is your "active" address. This may be particularly useful if you will be at another address during the summer where you would like to receive mailings.
- Mailings
- This area lists the different salutations that are used for your household. You may enter an override if, for instance, you would prefer us to use your nick name instead of your formal name.
- Events
- This area lists events in your household's data history at AIS.
- You will not have access to add or change events on this screen.
- Member Events
- Much like the Events screen, you will see a list of major events that are recorded on any household member's records.
- Other
- This area lists any additional miscellaneous information about your household. This information is strictly private and is only available for your viewing. No other AIS families have access to this information.
- Event Calendar
- This is another link to the Household Calendar.
- Athletic Calendar
- This is another link to the Athletic Calendar.
- Enrollment History
- This is a list of your student(s) enrollment history with AIS. Enrollment is tracked per academic term: 4 terms for primary school students (T1, T2, T3, ALL), 5 terms for middle school students (MSQ1, MSQ2, MSQ3, MSQ4, ALL) and 5 terms for upper school students (Q1, Q2, Q3, Q4, ALL).
My Profile
- This area will take you to your own person record. This is where individual information about you is stored such as your email addresses, phone numbers, etc.
- General
- You may update contact numbers, email addresses, occupations, employer and job titles here.
- Please note that while Ethnicity is a field that is maintained in the database, we do not require families to enter this information. You may leave this information blank, if you choose. The Ethnicity field is not used in any fashion at AIS.
- Addresses
- Different from household addresses, individuals may maintain separate addresses from their households if they so choose. You may enter this information here, if this applies to you. Please note that if you enter an individual address, it will OVERRIDE your household address and you will be sent a mailing separately from the rest of your household members.
- Mailings
- You may enter salutation overrides if you wish us to use your nick name instead of your formal name.
- Related People
- This area lists all of the people who are related to you. This includes anyone living in your household, but may also include information on others related to you, but who may be living in another household.
- You may specify whether someone related to you is an emergency contact for your student or is allowed to pick up your student from school.
- To see more detailed information on these individuals, you may click on the magnifying glass to the right of each person's row.

- This area lists all your role(s) within the Veracross database.

This link will show you a list of report cards available for viewing for your students. Please use this link to view and print report cards at the end of each grading term.
Reports and Directories
- Family Directory
- This report is a list of all current AIS families and the contact information they have specified to make available to you. This report is rather lengthy and may take up to 1 minute to run, depending upon your internet connection speed.
- Family Directory by City
- This report will list all different cities in which current families live. You may click on the number to the right of each city name to see a listing of those families residing in that city.
- Families Who Live Nearby
- This report will list all the current AIS families that live within 5 miles of your home. This is of particular interest to those who may be interested in joining a carpool.
- Student Directory
- This report will list all current AIS students with parent names and any other available contact information.
- Staff/Faculty Directory
- This report will list all the current AIS faculty and staff along with their business phone numbers and email addresses.
General Navigation
Logging Into the Parent Portal
If you are a current AIS parent living in the same household with a current AIS student, you should have received an email specifying your Veracross Parent Portal login information.
To log into the Parent Portal:
- Point your internet browser to www.veracross.com/ais
- Enter your username and password (passwords are case-sensitive, so please enter it exactly as it appears in the email)
If you did not receive your login information via email:
- Point your internet browser to www.veracross.com/ais
- Click on the link called "Forgot your username or password"
- Your user account information will be emailed to you
- If the email does not appear in your inbox within a few minutes, please contact the IT Department at 404-841-3840 ext. 511.
Changing Your Password
This link will allow you to change your Veracross Parent Portal password at any time. All passwords must be at least 8 characters long, contain at least one upper-case letter, one lower-case letter and one number.
Checking Your Messages
To view recently sent email messages:
- Click on My Messages
- Click on the name of each message and review them
- After you have reviewed these messages, this list will be cleared overnight
- To view old messages previously viewed, you may click on Household Messages to view them again.
Viewing Calendars
There are three calendars on the Parent Portal: Household Calendar, Athletic Calendar and School Calendar. Many events will appear on multiple calendars, so please view all three for regular updates.
Viewing and Printing Report Cards (Sec. School only)
Please note that only secondary school student report cards are posted to the Parent Portal at this time. To view and print report cards:
- Click on the Report Cards link
- You will see a list of all available report cards for your students
- Under the column called "Download", click on the link for the report card you wish to view or print
- A message box will appear asking if you want to save or open the report card file. To view the report card click on "open".
- Once the report card file is open, you may click on File, Print to print a hard copy of the report.
- If you experience trouble viewing the report card, please download the latest version of Adobe Acrobat Reader and try to view the report card again.

Updating Your Contact Information
There are two different types of information stored on each AIS family. One type is the household information and includes items such as address and home phone number since this is information shared by all those living in your household. The second is person information and includes items such as citizenships, languages, gender and birthdays because this information is individual to the person. It is important to keep these separations in mind when making changes to your information.
Address Changes
To change your household address:
- Click on My Household
- In the address fields listed, make the necessary changes
- Click "Update" to make sure your changes are saved.
Home Phone Number Changes
To change your household phone number:
- Click on My Household
- In the Phone field listed, make the necessary changes
- Click "Update" to make sure your changes are saved.
Cell Phone Number Change for You
To change your personal cell phone number:
- Click on My Profile
- In the Mobile Phone field listed, make the necessary changes
- Click "Update" to make sure your changes are saved
Cell Phone Number Change for another Member of Your Household
To change another member's cell phone number:
- Click on My Household
- At the bottom of the screen, find the member of the household for whom you'd like to make a change and click on the magnifying glass to the right side of that row.
- In the Mobile Phone field listed, make the necessary changes
- Click "Update" to make sure your changes are saved
Email Address Change for You
To change your personal email address(es):
- Click on My Profile
- In the Email 1 and Email 2 fields listed, make the necessary changes
- Click "Update" to make sure your changes are saved
- Please note that only addresses listed in Email 1 are used in email distribution lists. The address in Email 2 is reserved if we are unable to contact you via the address in Email 1.
Email Address Change for another Member of Your Household
To change another member's email address(es):
- Click on My Household
- At the bottom of the screen, find the member of the household for whom you'd like to make a change and click on the magnifying glass to the right side of that row.
- In the Email 1 and Email 2 fields, make the necessary changes
- Click "Update" to make sure your changes are saved
- Please note that only addresses listed in Email 1 are used in email distribution lists. The address in Email 2 is reserved if we are unable to contact you via the address in Email 1.
Adding or Removing an Organization Affiliation to a Household Member
To add an organization affiliation on any person's record:
- Click on My Household
- At the bottom of the screen, find the member of the household for whom you'd like to add an affiliation and click on the magnifying glass to the right side of that row
- On the left side of the screen, click on "Organizations"
- To add an organization, click on the icon that looks like a piece of paper with a magnifying glass over it.
- On this screen, type in the first few letters in the organizations name next to "Organization"
- Click Run Query
- From the list that appears, select the organization that you would like to add to the record by clicking on its name. If you do not see the organization listed, please email Jill Herron at jherron@aischool.org and request that the organization be added. Please include the organization's full name, address and phone number in your email.
- You will then see the organization appear on the person's record
- Click "Update" to make sure your addition is saved
- To remove the organization affiliation, simply click on the black "X" at the far right of that row.
Changing the Contact Information Viewable to Other Families in the Directory
- Click on My Household
- Under Family Directory, use the drop-down list to choose what combination of contact information to make viewable to other users in the Family Directory
- Remember: when you run the Family Directory report, you will still be able to see your own contact information on this report. However, other AIS families will only see what you have designated.
Accessing Re-enrollment Through the Parent Portal
- Click on My Household
- In the navigation bar on the left, click on "Other"
- Scroll down to the bottom of the screen and under "URLs", click on "Enrollment Form"

Veracross Security Q & A
- Q: Can other people see my family's confidential information?
- A: Your confidential information is limited to your school's staff members and your family login account(s).
- Q: How do I make my phone number unlisted or take myself completely off the directory?
- A: After logging in, click on My Household then select the appropriate Directory Status.
- Q: Should I share my family login info with others?
- A: We strongly recommend that you do NOT share your account information. sharing your account will enable others to have the same access as you. Separate accounts are created for each parent in your family's household and thus we recomment that you not share accounts.
- Q: Can someone 'hack' into my account?
- A: To keep your account secure from hackers use a password that is not easy for others to guess and keep your password confidential.
- Q: Can strangers 'hack' into Veracross or capture information during transmission?
- A: Veracross uses corporate-grade encryption (128-bit SSL) to prevent unauthorized access to school information. The general public cannot access Veracross by simply typing in a web page address.
